• Portal usage data — when you log in to the client portal, we store your customer ID in your browser session
• Communication data — emails and contact form submissions you send to us

How We Use Your Data

We use your personal data for the following purposes:

• To provide fire and security installation, maintenance and monitoring services
• To send maintenance reminder emails when your system service is due (within 30 days of the due date)
• To respond to enquiries submitted via our contact form
• To maintain accurate service records for your site
• To comply with legal obligations relating to fire safety certification

Legal Basis for Processing

We process your data on the following legal bases under UK GDPR Article 6:

• Contract performance — processing necessary to deliver the services you have contracted with us
• Legitimate interests — sending maintenance reminders to ensure your legal fire safety obligations are met
• Legal obligation — maintaining service records required by fire safety legislation

Maintenance Reminder Emails

As part of our service contract, we will send you automated email reminders approximately 30 days before your scheduled maintenance is due. These are sent to the contact email address registered on your account. This processing is based on our legitimate interest in ensuring your fire safety systems remain compliant and your certifications remain valid.

You may opt out of reminder emails at any time by contacting us at info@axon-security.com. Please note that opting out does not affect your contractual obligation to maintain your systems.

Data Sharing

We do not sell your personal data to third parties. We may share your data with:

• Supabase — our database and authentication provider (EU/US hosted, GDPR compliant)
• Resend — our email delivery provider, used solely to send maintenance reminders
• Netlify — our website hosting provider
• Alarm Receiving Centres (ARC) — where monitoring services are provided, limited data necessary for response

All third-party processors are contractually bound to process your data only as instructed and in compliance with data protection law.

Data Retention

We retain your personal data for as long as you remain a customer and for a period of 7 years thereafter, in accordance with our legal obligations relating to fire safety records and financial records. Contact form submissions are retained for 2 years.

Your Rights

Under UK GDPR you have the right to:

• Access — request a copy of the personal data we hold about you
• Rectification — request correction of inaccurate data
• Erasure — request deletion of your data where there is no legitimate reason to continue processing it
• Restriction — request restriction of processing in certain circumstances
• Portability — receive your data in a structured, machine-readable format
• Object — object to processing based on legitimate interests

Complaints
